Ultimate Staffing is seeking an Office Manager / Bookkeeper on behalf of a well-established CPA and tax firm in Broomfield, Colorado. This position is ideal for an organized and detail-oriented professional who enjoys managing office operations while supporting bookkeeping and accounting functions in a collaborative, client-focused environment.

This individual will play a critical role in the day-to-day success of the firm by ensuring smooth administrative operations, maintaining accurate financial records, and delivering exceptional service to both clients and internal staff.

Position Overview

The Office Manager / Bookkeeper will serve as the operational backbone of the office, overseeing administrative functions while managing bookkeeping activities, financial recordkeeping, client communications, and office coordination. This role requires someone who can work independently, manage multiple priorities, and maintain a high degree of accuracy and professionalism.

Key Responsibilities

Office Management

  • Manage day-to-day office operations and administrative activities.
  • Serve as the primary point of contact for clients, vendors, and visitors.
  • Coordinate calendars, meetings, appointments, and office communications.
  • Maintain office supplies, equipment, and vendor relationships.
  • Organize and manage electronic and physical client files.
  • Support firm leadership with administrative projects and operational initiatives.

Bookkeeping & Accounting Support

  • Manage Accounts Payable and Accounts Receivable functions.
  • Prepare, process, and track invoices, payments, and deposits.
  • Reconcile bank accounts, credit card accounts, and financial transactions.
  • Maintain accurate bookkeeping records and financial documentation.
  • Assist with payroll administration and related recordkeeping.
  • Support month-end and year-end accounting processes.
  • Work closely with tax professionals and firm leadership to ensure accuracy and compliance.

Client Service & Administrative Support

  • Assist with client onboarding and document collection.
  • Coordinate client communications regarding tax, bookkeeping, and accounting services.
  • Track project deadlines and ensure timely follow-up with clients.
  • Support the firm during busy tax seasons with additional administrative and operational responsibilities.

Qualifications

  • 3+ years of experience in bookkeeping, accounting support, office management, or a related role.
  • Strong knowledge of bookkeeping principles, including AP, AR, reconciliations, and financial record maintenance.
  • Experience with QuickBooks (Online and/or Desktop) strongly preferred.
  • Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Word.
  • Excellent organizational skills and attention to detail.
  • Strong customer service and communication abilities.
  • Ability to manage multiple priorities in a fast-paced professional environment.
  • High level of discretion and ability to handle confidential financial information.

Preferred Qualifications

  • Previous experience supporting a CPA firm, tax practice, accounting firm, or financial services organization.
  • Payroll processing experience.
  • Familiarity with tax-related administrative procedures.
  • Associate's or Bachelor's degree in Accounting, Business, Finance, or a related field preferred.

Schedule: Monday - Friday, standard business hours
Work Location: Fully onsite in Broomfield, CO
